SHIPPING & DELIVERY POLICY

This Shipping & Delivery Policy forms part of our Terms of Service and applies to all orders placed with Aegis Vaults Ltd (trading as Cardiff Gold), whether made online, in person, by telephone, email, or text message.
By placing an order, you acknowledge and agree to the terms set out below.
1. Delivery Addresses
We will only deliver goods to the billing address associated with the payment method used. This is a strict anti-fraud measure designed to protect both our customers and our business.
It is your responsibility to ensure that your billing and contact information is accurate and up to date at the time of purchase. We cannot be held liable for any loss or delay resulting from incorrect or incomplete address details.
We do not deliver to PO Boxes, forwarding addresses, storage units, or third-party mail handling services, unless this has been explicitly agreed with us in writing prior to dispatch.
2. Dispatch, Back Orders and Market Contingencies
Dispatch and supply availability
While we strive to dispatch in-stock items promptly, certain products may be subject to backorders or supplier delays. These delays are often driven by market demand, minting schedules, or broader supply chain constraints.
We endeavour to highlight potential delays at the point of checkout or within your order confirmation. Should a delay become apparent after an order has been placed, we will notify you as soon as reasonably possible. While we aim to provide estimated dispatch dates, please note that these are estimates only and are subject to change based on supplier availability.
Delivery timelines
Our standard objective is to deliver all goods within 30 days of order placement. In exceptional circumstances involving production or supply shortages, this period may be extended.
Exceptional market conditions
In rare circumstances, extreme fluctuations in the precious metals market may prevent us from securing or hedging the underlying metal at the price agreed at the time of your order. In such cases, we may need to cancel the order. You will be notified promptly, and any payments received will be refunded in full, along with an explanation of the reason for cancellation.
Delays for other reasons
If delivery cannot be completed within the standard timeframe for any other reason, we will contact you to agree either:
- a mutually acceptable revised delivery date; or
- a full refund, if preferred.
Delays caused by metal availability, mint production, or courier constraints do not constitute a breach of contract, provided we act within a reasonable timeframe and keep you informed.
3. Dispatch Confirmation and Tracking
Once your order has been dispatched, you will receive a dispatch confirmation email containing your tracking details.
Please monitor your tracking link and ensure someone is available to receive the parcel at your delivery address.
If you receive an unusual or unexpected message via our postage system, please let us know as soon as possible.
For security reasons, tracking information may be delayed or partially redacted until the parcel is in transit or delivered.
We regularly enclose trackers within our parcels to protect against mail theft. If you receive one of these in your parcel, please follow the instructions provided with it.
4. Delivery Security and Signatures
Our shipments are fully insured up to the point of delivery. Delivery confirmation may take any of the following forms:
- the recipient's signature;
- delivery to a neighbour or designated safe location; or
- GPS coordinates, a photograph, or courier scan data confirming delivery.
Once the courier confirms delivery in accordance with their standard process, ownership of and risk in the goods transfer to you immediately (see Section 3 – Contract Formation of our Terms of Service).
We cannot accept liability for any loss, theft, or damage occurring after confirmed delivery, unless this results from our negligence.
5. Missing or Delayed Parcels
If your parcel does not arrive within the expected timeframe, please first check the courier's tracking information.
We are unable to open an investigation or claim with the courier until 14 working days have passed since the dispatch date, in accordance with courier and insurer requirements.
Once this period has elapsed, we will initiate an investigation on your behalf. Please note that:
- courier investigations can take several weeks to complete;
- your full cooperation is required throughout the process, including providing written statements or confirmations for insurance purposes; and
- claims may be refused or delayed if insufficient information is provided.
No replacement or refund will be issued until the investigation has concluded and liability has been formally accepted by the courier or insurer.
Loss-in-transit reporting deadline: Any claim for non-receipt must be submitted to us in writing within 30 days of your dispatch confirmation email. Claims made after this period are not eligible for investigation or reimbursement under our shipping insurance, and Aegis Vaults Ltd reserves the right to decline liability for any delivery issue reported beyond this 30-day limit.
6. Postal Fraud Prevention
For the protection of our customers and our business, all deliveries are tracked, recorded, and insured.
We actively cooperate with couriers, insurers, and law enforcement agencies to investigate suspected postal or delivery fraud.
Any attempt to make a false or misleading delivery claim may result in:
- suspension of your account and cancellation of future orders;
- reporting to law enforcement; and
- civil recovery of any losses or costs incurred.
7. Risk and Ownership
Ownership of the goods transfers to you once they have been delivered and confirmed by the courier. After this point, the goods are held at your own risk, and we are not liable for any subsequent loss, damage, or destruction of the items.
If you have arranged your own courier or collection, risk passes to you at the point of handover to your appointed carrier.
